Job Description

Duties

  • Provide Records Management advice and guidance to other offices in the Director’s organization so that all offices are proficient in their individual Records Management procedures.
  • Provide detailed documentation and status of all organizational records. Provide milestones and timelines for records retention schedules.
  • Provide support and coordination for the Directors and other members of the senior staff. Coordinate with other members of the administrative specialist team to ensure timely and accurate support for the Directors and senior staff.
  • Provide scheduling, prioritizing appointments, and creating meetings among multiple people and/or groups inside and outside of Ames. Manage center access for foreign nationals, as required.
  • Provide planning and coordination of various events, workshops, retreats, and site coordination.
  • Update and maintain office equipment, keep physical spaces and electronic files organized.
  • Lead the implementation of administrative management policies. Interpret and provide advice to employees and managers on policies and regulations pertaining to administrative matters.
  • Provide support for communication functions, foreign and domestic travel support, and coordination of audio/visual equipment.

Qualifications

Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.

To qualify for GS-11, you must have:

a) One year of directly related specialized experience equivalent to the GS-09 level:

  • Applying knowledge to analyze, implement, and advise on records management policies and objectives;
  • Interpreting or implementing new administrative and management policies and communicating the changes to senior management and staff;
  • Managing and coordinating schedules, events, and travel for senior management.

OR

b) Completed all requirements for a doctoral degree (i.e., Ph.D. or equivalent) in an appropriate field

OR

c) Completed 3 full academic years of progressively higher-level graduate education leading to a Ph.D. degree or equivalent doctoral degree in an appropriate field

OR

d) LL.M., if related

OR

e) Have an equivalent combination of experience and graduate study as discussed in a), b), c) and d) above
