Job Description

NASA Federal Credit Union is in search of an experienced Executive Assistant to assist and support the CEO, Senior Management Team, Board of Directors, and volunteers with scheduling, conferences, meetings, information gathering and production, and other organizational and administrative support.The Executive Assistant will coordinate the monthly Board Meeting including catering food, preparing the meeting room, and verifying audio/visual tools for remote attendees. All monthly Board meetings will require the Executive Assistant attend and remain onsite for the duration of the meeting. All time off must be arranged around monthly Board Meetings, which occur in the evenings, generally the last Monday of the month and may requiring working as late as 9:00 pm.This position will handle confidential material and matters and must have the ability to maintain confidentiality. The Executive Assistant will also act as a liaison with the Board of Directors and volunteers and assists them with support as needed.

Essential Duties and Responsibilities: include the following with other duties as assigned.

    • Remain cognizant of and adheres to Credit Union policies and procedures, and regulations pertaining to the Bank Secrecy Act.
    • Arrange and coordinate conference and travel arrangements for the President/CEO, Board, Committee Members and Senior Management.
    • Manage menus and food arrangements for lunch and dinner meetings for the President/CEO, Board, Committees, Senior Management, and Administration Department functions.
    • Prepare and distribute monthly informational board packages.
    • Coordinate Senior Staff Meetings.
    • Prepare correspondence.
    • Prepare documents and presentations.
    • Maintain the Volunteer Directory, Volunteer Orientation Manual, Strategic Planning documents, Credit Union By-laws, NCUA Exams, Independent Audit Reports, and the Credit Union charter.
    • Handle Administration and Human Resource Department mail.
    • Attend staff meetings and take minutes.
    • Attend Board meetings, take minutes, and handle minutes approval process.
    • Manage and coordinate arrangements for the Annual Appreciation Dinner.
    • Manage and coordinate arrangements for bi-annual Strategic Planning Meetings (may include spousal activities).
    • Prepare employee anniversary cards and coordinate bonus with Finance.
    • Purchase materials, gifts, consumables as necessary for business meetings.
    • Handle annual Volunteer appointment correspondence.

Education and Experience:

    • Bachelor’s degree (B. A.) from four-year college or university preferred
    • Five years of senior level administrative assistant or administrative secretary experience required.

Other Skills and Abilities:

    • Ability to Excellent oral, written, and listening communication skills.
    • Proficiency in Microsoft Office Suite and use of the Internet and other software tools.
    • Ability to work collaboratively across multifunctional teams.
    • Ability to manage multiple deadlines in a fast-paced and changing environment.
    • Ability to work independently.
    • Excellent organization skills.
    • MUST represent the Credit Union with a high level of integrity and professionalism internally and externally.
